Privacy Policy
This Privacy Policy covers person identifiable information that may be provided to Mimer. Your data only comes from what you decide to provide to us by understanding privacy policy of the platforms we are using for different purposes as shown below. Changes to this Privacy Policy will be posted on this page. Any changes will only apply to information collected after the posted date of any such change. Additionally, information may be provided to governmental bodies and other entities as required by law.
Definitions
Mimer team members / We / Us / Our – people who are working for the Mimer AI Factory project by either or both being funded or in-kind contribution.
Users – people who use and/or contribute to our services including events, lesson materials, other materials under on our website and other online resources, newsletters, notification form, and those who send inquiries to mimer-training@naiss.se.
Mimer platforms – cloud services that are administered by Mimer team members to provide services to users, among Mimer team members as well as together with Users. They include, but are not limited to, Nextcloud and Zulip Chat.
Online community spaces – cloud services that Mimer as a project uses to provide its services to users and for collaborative working among Mimer team members as well as together with Users. They include, but are not limited to, Mimer’s account in GitHub, HackMD, YouTube, and LinkedIn.
Online video conference systems – online video conference systems that are licensed to any institute that Mimer team members are affiliated by. They include, but are not limited to Sunet Zoom.
Trusted partners – people who are co-organizing the event with us or are administering the Mimer platforms for us.
Events – any gathering of Mimer team members, trusted co-organizing partners and users, either organized or co-organized by us, where users participate in an in-person, online or a hybrid (both in-person and online) community space.
What information do we obtain and why?
We obtain user data including person identifiable information in the following manner for each purpose:
Registration form in a Mimer platform to sign-up for events.
To communicate with the user about the events.
To communicate with our trusted partners about the events, including but are not limited to allocating resources for the events, inviting users and for their reporting purposes.
For preparation of the events, , including but are not limited to grouping of users for exercises.
To compare with attendance information.
After anonymization and summarizing, to report statistics on our website and in reports delivered to fiscal sponsors and contributing partners.
Email sent from mimer-training@naiss.se, from a Mimer team member or a trusted partner.
To invite and remind the user about an event.
To seek feedback from the user after an event.
To distribute training material.
Email inquiry sent to mimer-training@naiss.se, from a Mimer team member or a trusted partner.
To answer the inquiry.

To compare with the information provided upon sign-up for events.

Information you provide in our Online community spaces or Online video conference systems are visible and accessible according to each service’s privacy policy. Please note that your information may be visible to other users in the Online community spaces than Mimer team members. We use your information within each Online community space for communication purpose in a reasonable and respectful manner. We will not use your person identifiable information provided in our Online community spaces for other purposes than communication with you and within the community. When we archive a note taken in HackMD during a events, we will delete all the person identifiable information of users.
Provided Mimer team members and trusted partners consent to a recording, we create a video recording from an online video conference system such as Sunet Zoom during the event. Then we transfer it to a Mimer platform and remove personal identifiable information of users before distributing via an online community space.
We obtain the following data anonymously and voluntarily from users.
Pre-/Post-event feedback survey.
For preparation of the events.
For improvement of future events.
For reporting (in a summarized form).

We use anonymous web analytics on some of our websites and lesson pages. These are done without client-side IDs or storing identifiable information on either the client or server side.
Who has access to the personally identifiable information?
Mimer team members have access to personally identifiable information provided upon events sign-up, subscribing to our newsletter, sending inquiry to mimer-training@naiss.se, upon recording and attendance in online/in-person events.
Trusted partners who have requested or have access to registration and attendance based on previous mutual understanding or agreements.
Where we store the data
We use https://nextcloud.naiss.se for storing sign-up information provided by users for any events. Also emails sent from mimer-training@naiss.se will be stored in the same organization. Data controller of https://nextcloud.naiss.se is Linköping University.
We use https://www.keila.io/ as a platform to send a newsletter.
Anonymized survey results and events/event attendee statistics are or will be published on reports and deliverables submitted to our fiscal sponsors.
Registration data provided via sign-up form and attendance information generated by an Online video conference system are temporarily stored in a Mimer team member’s affiliated institution’s cloud system which is in line with processing non-sensitive person-identifiable information during anonymization process or obtaining information necessary for the purpose of the event.
Registration data and attendance information may be stored on trusted partners’ facilities and will be shared publicly if sufficiently aggregated and anonymized.
How long we store the data
Anonymized survey results and statistics are meant to be kept without a time limit.
Stored names and email addresses of users will be removed with the end of the project period.
Anonymity and right to be forgotten
As a user you have the right to request access to your personal data, correction or erasure of your personal data, and information about how your data is processed.
If you want to be removed from announcement lists, please let us know.
Events registration can be canceled before and removed, otherwise we keep it for sending a request to answer pre-/post-events survey.
If you want access to your data or to be removed, email us from the address you have used for registration.
